Legal Administrative Assistant – Downtown Victoria, BC

We are currently seeking a highly motivated and detail-oriented Legal Administrative Assistant to join our team in-office on a part-time or full-time basis, at least 30 hours per week. This is an exciting opportunity for an individual with some basic experience looking to grow within the field of legal administration.

RESPONSIBILITIES

  • Provide general administrative support to partners and lawyers which may include: proofing documents such as contracts, agreements, and pleadings, drafting client correspondence, preparing binders, setting up the boardroom and assisting with preparations for client meetings, and other duties;
  • Assist with research, document discovery, database management, and/or file preparation for litigation matters; provide back-up and support to lead paralegal;
  • Provide general administrative support to management and staff, including document management, planning for meetings (catering, boardroom rentals, etc), handling travel arrangements, maintaining facilities, photocopying, scanning, updating website and posting on social media, preparing marketing materials, and other administrative duties;
  • Organize and maintain electronic (in some cases, also physical) client files, ensuring compliance with firm policies and Law Society rules.
  • Maintain calendars for a busy team.
  • Communicate effectively with our clients, contacts, and vendors.
  • Perform other administrative tasks as required.

QUALIFICATIONS

Education: High school diploma required; post-secondary education in an LAA program preferred.

Experience: Previous administrative experience in a legal or Indigenous-focused environment is essential. Basic knowledge of legal terminology and procedures is preferred. Litigation experience is a strong asset.

  • Highly organized and a strong attention to detail.

  • Ability to work independently and as part of a team.
  • Proficiency with MS Office (Word, Excel, Outlook, PowerPoint) software is required.
  • Experience with any of the following is an asset: BC Online, LTSA, CanLII, Westlaw, online filing with courts or administrative bodies, Adobe Pro, Clio, NetDocuments, Trello, Canva.
  • A commitment to reconcilliation, and respect for Indigenous legal issues and communities are essential.

Compensation:

  • $57,000-66,000 starting full-time salary. Open to a part-time arrangement (salary adjusted accordingly).
